How I Prepare for your Wedding as a Wedding Planner

More than half of the time that I spend working on your wedding is actually before the wedding even happens. When it seems like your planner or coordinator isn’t doing that much, just know that there is a lot going on in the background. Here we are going to talk about some things your average wedding planner or coordinator does in the last few months before your wedding:

Our Meetings Together

In the last month before your wedding, I typically will have a final details meeting with you to discuss everything I need to know to make sure your wedding runs perfectly. We go over the start of your timeline, and make sure we have a plan for the whole day. Then, we have a venue walkthrough with your venue, caterer, or other vendors to make sure that everyone is on the same page about a week or two before the wedding. The last meeting on the list is a wedding rehearsal to run through the ceremony and make sure that your wedding party, family, friends, and officiant all know what to expect for the wedding day. Some other planners may have additional meetings with you as well.

Prep Emergency Kit

I usually keep up with packing my emergency kit constantly, but I usually give it one good look before each wedding. I always want to make sure I have the super important stuff handy, and restock it whenever I need.

Timeline Work

The timeline work is some of the most important work that I do for the wedding. I always want to make sure to cover any important elements of your day. After our meeting to discuss the big pieces, I put all of them together and make sure you and your vendors agree with it. After I confirm with all of the vendors, I send it out one final time after you approve it and print it out for me and my assistant if I am bringing my husband on to your wedding.

Sift through Previous Emails

I usually will comb through our previous emails to make sure there wasn’t anything missed with vendors and with you. I always want to make sure to cover my tracks and that everything is already confirmed!

Confirm with Vendors

After confirming the timeline with all of the vendors, I write down all of their contact information and save it in my phone. I also look through their social medias and save them as well to make it easy to tag them in the future!

Last Night/Day Prep

The night before or the day of your wedding, I’ll make sure my jumpsuit is all good to go, check the weather if I need a cardigan, and pack up my purse. I will always have fruit snacks, granola bars, safety pins, and a water bottle on me. Then I check that my car is good on gas to get me to your venues.

After all that prep, then it’s finally your wedding day! It’s always so exciting to see everything come together. It may not seem like a lot of work, but that time leading up to your wedding is definitely the most important part to make sure that everything is thought of and covered. You’ll also be able to relax and really soak in your wedding day because we covered all the minute details ahead of time!
