What does a Wedding Coordinator do? Here’s your Answer:

Depending on the team you hire, you can be getting a lot of different things from your wedding coordinator. It’s hard to know exactly what a wedding coordinator does, since a lot of the work happens on the wedding day and there isn’t a concrete product like a florist or a DJ. More often than not, wedding coordinators do a lot of work that you won’t actually see, so here are some of the things your wedding coordinator may be doing that you do and don’t see:

Wedding Day Work

As most people are most curious about how the actual wedding day looks, I figured I would give you a rundown of your average wedding day chores that your wedding coordinator will handle for you. This usually starts to make sure you and your family, friends, and vendors are following the timeline we help you make, setting up any of your DIY items or decorations, checking on your vendors to make sure they don’t need anything handled, checking on you, your family, and your friends that everyone is happy and doesn’t need anything, helping you get down the aisle and into your reception as you pictured, bustling your dress, dealing with all of the questions and problems that may come up on your wedding day so you all can enjoy yourself, and putting away any of your DIY items or decorations are many of the things that almost all wedding coordinator will take care of for you.

Marketing

Wedding coordinators that are running a business will also make sure that they are putting themselves out there for you and other vendors to see. This means things like putting together “fake weddings” or styled shoots, attending expos at a booth, planning out social media and other content, creating planning sheets for their couples, or having networking meetings with other vendors in the area are some of the things that vendors do besides actually advertising their services.

Meetings

Whether it’s meeting prospective couples, current couples, vendors, venue managers, there will always be some kinds of meetings that your coordinator will be attending. There likely will be more than one meeting with your coordinator just to iron out all of your wedding day details so they are fully prepared to make your day look how you want it to!

Emails

Believe it or not, but keeping up with emails is a huge part of the work that your coordinator does. We make sure that you and the vendors all are on the same page on your timeline of the day, we answer any of your questions or give advice along the way when couples need it, and any other reasons we have emails really starts to add up. For each wedding, I personally track my time in each category and emailing generally is about 20% of the time for each couple - which is a lot seeing as most of it is for the actual wedding day!

Backend Business Work

Your coordinator also likely has a lot of other backend business to-dos to keep up with throughout the year. The fun parts of owning a business, like dealing with insurance, accounting, taxes, budgeting, are some of the “most fun” parts for sure (totally kidding, haha). They all still take a part of our time, whether we do it ourselves or have someone else do it for us.

Thankfully, you as a couple don’t have to worry or think about these things! Our goal is to make everything as seamless as possible and make sure you only have to think about enjoying yourself at your wedding day.
